 Thornlie Swimming Club

Official’s roles

 
President
1)       Preside at all meetings of the Club and of the Committee and at such other meetings as required by the Club.
2)       Ensure that all business of the Club is conducted in accordance with the requirements of the constitution.
3)       Provide a report to each Committee meeting.
4)       Member of the swimming committee.
5)       Delegate, appropriately, any such matters that need attending to by other Committee members.
 
Vice-president (X 2)
1)       Assist the President as directed.
2)       In the absence of the President preside over meetings of the Club and of the Committee and at such other meetings as required by the Club.
3)       In the absence of the President serve as a member of the swimming committee.
4)       Responsible for a Fundraising/Social committee.
 
Secretary
1)       Attend all committee meetings and other such meetings held by the Club.
2)       Keep accurate minutes of all meetings.
3)       Ensure that all correspondence is kept properly recorded and filed.
4)       Keep custody of all books, documents, records and registrars of the Club other than those required to be maintained by the Treasurer, Registrar and Recorder.
5)       Check emails regularly and forward things on to appropriate people.
6)       Update and maintain contacts in email.
 
Treasurer
1)       Keep accurate accounts and books showing the financial affairs of the Club.
2)       Pay all monies received into the Club’s bank account.
3)       Draw cheques with the required signatories.
4)       Present monthly statements to the Committee.
5)       Prepare annual statement of accounts and arrange audit of these accounts for presentation at the Annual General meeting.
6)       Check stock takes in conjunction with the Uniform Officer.
 
Registrar
1)       In conjunction with the Treasurer write all receipts for Club affiliation fees and Swim Meets. (Treasurer to check with money received)
2)       Maintain a current list of all financial members and swimmers who are doing their 2 week “try out”. Give an updated list of members to President, Secretary and Recorder.
3)       Complete registration forms and submit to SWA registrar.
4)       Make sure all new members receive Club Handbook and each family receives SWA Almanac on registration. Also any other such material the Club deems appropriate i.e. Car stickers/bottles.
5)       Provide monthly report to Committee.
 
Swim Meet Officer
1)       Keep all members informed of external meets coming up and their closing dates for entries.
2)       Assist members in completing external meet entry forms.
3)       Check all entries received for Carnivals to ensure that all entrants are registered swimmers and forward these to the appropriate person.
4)       In the case of SWA run Carnivals, ensure accuracy of entry times prior to submission of entries. Note that if swimmer is using Club time trials as time; check that this had 3 time keepers to qualify for time.
5)       SWA entries are to be submitted electronically or on computer disk.
6)       Member of Swimming Committee.
7)       Prepare letters of advice to swimmers selected for Pennant/Premiership meets and receive acknowledgement.
8)       Co-ordinate swimmers on pool deck at Pennant/Premiership meet.
9)       Provide report to the Committee when required/
 
Recorder
1)       On Club nights receive entries and produce programme of swims. Record times achieved into the computer.
2)       Maintain computer records of all swimmers times. This is to include maintaining Club records.
3)       Prior to the last cycle of the Club programme, provide to swimmers a list of events that they need to swim to be eligible to swim these at Club Championships and gain points.
4)       Member of the swimming committee, including provision of swimmers times for selection purposes.
5)       Organise meetings of swimming committee, when required, to select representative teams.
6)       Assist Swim Meet Officer on pool deck when necessary at Pennant/Premiership meets.
7)       Along with Assistant recorder and President designate Trophies according to points on Computer.
8)       Provide monthly reports to Committee.
 
Assistant Recorder
1)       Assist the Recorder as required.
2)       Responsible for all the computer work involved with the Annual Spring Carnival and any other carnival run by the Club, in conjunction with the Recorder.
 
SWA delegate
1)       Attend SWA meetings and represent the Club.
2)       Attend any other meetings held by SWA that Committee feels would be of value to the Club.
3)       In the event that the President or Vice President could not attend other meetings (such as those held by Gosnells City Council) to be prepared to attend these.
 
Proxy SWA delegate
1)       In the event of the SWA delegate not being available for the above duties, to act in this role representing the Club.
 
Uniform Officer
1)       Responsible for ordering and sales of uniforms.
2)       Doing a stock take of uniforms in conjunction with the Treasurer at least once a year.
 
Chief Referee/Technical Official
1)       Act as Chief referee on Club nights.
 
Assistant Referee
1)       Assist the Chief Referee on Club nights.
 
Chief Timekeeper
1)       Ensure that the right numbers of timekeepers are on pool deck on Club nights.
2)       Maintain supplies of stationary required for timekeeping.
3)       Start 2 back up watches for each race on Club nights in the event that a timekeeper fails to start their stop watch.
4)       Assist timekeepers on pool deck in the correct format of timekeeping and importance of legible writing on time slips.
5)       Assist timekeepers on pool deck at swim meets organised by the Club, including interclub swim meets.
6)       Ensure time slips have 3 times on and organise the slips getting to Recorders desk.
7)       Ensure required stationary for timekeepers is available at swim meets organised by the Club.
8)       Ensure there are spare batteries for stop watches.
 
Assistant Timekeeper
1)       Assist Chief timekeeper in above role as needed.
 
Publicity Officer
1)       Promote the Club through advertising.
2)       Collect results from external Carnivals and write articles for publication in local community newspapers, or any other relevant event that is occurring within the Club.
 
Marshall
1)       Marshall swimmers on Club nights.
2)       Amalgamate swims when necessary on Club nights and inform Chief referee and Chief timekeeper.
3)       Act as announcer on Club nights and inform members and parents of any relevant information.
 
Liaison Officer
1)       Greet new people who present at the Club. Assist them in the correct protocol of filling out swim forms.
2)       Be available on Club nights to answer any questions that anyone may have or take them to the appropriate person for answering the question.
 
Safety Officer
1)       Ensure the safety of the swimmers during warm up and that they are not swimming in the leisure pool.
2)       Allocate a lane for dives in the last 10 minutes of warm up.
3)       Ensure swimmers are sitting in the marshalling area during racing and acting appropriately.
 
Newsletter Officer
1)       Write a weekly newsletter to keep members and parents up to date with what is happening in the Club.
2)       Email newsletter to all people who have an address. Make sure enough copies are printed for Club night.
3)       Write a shorter version of the newsletter for Life Time Members every 3 months.
 
  
Committee
The committee must consist of:

It should be noted that the positions of Recorder, SWA delegate, and Uniform Officer are not automatically elected onto the Committee due to their positions. It is desirable that the Committee include these officers so that when nominated for election to one of these positions they should also be nominated for one of the 5 committee positions.
